This Privacy Policy explains how Entra Engineering (Pty) Ltd(“ENTRA”, “we”, “us”) collects, uses, shares and protects information across ENTRA Central and its modules, operated at entra.co.za and its subdomains.
1. Who this applies to
ENTRA Central is private business software for authorised ENTRA personnel and appointed representatives. It is not offered to the public. The information in it is ENTRA’s business information and, where relevant, personal information about ENTRA personnel and third parties handled for business purposes.
2. Information we process
- Identity and access — your name and email address, provided through ENTRA’s single sign-on, and the roles that determine what you may see and do.
- Business records — the data entered into the modules in the course of ENTRA’s operations, such as inventory, purchase orders, suppliers, projects and time records.
- Personal information — where a function requires it, information about ENTRA personnel and third parties, such as the pay basis and leave that the payroll administration module records.
- Operational logs — records of significant actions, kept so changes to sensitive data are accountable.
3. How we use it
We use this information only to operate the Software and carry out the business functions each module supports — recording and managing stock, procurement, projects, time and payroll administration — and to keep those functions secure and accountable. We do not use it for advertising, and we do not sell it.
4. Legal basis and your rights
We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA). Individuals whose information we hold may ask to access or correct it by contacting us at the address below.
5. Third-party services we share data with
We share information only with the service providers that operate parts of the platform, and only as far as each needs to do its job:
- Intuit QuickBooks Online.The Procurement module synchronises procurement records — purchase orders, suppliers and expense-account mappings — with ENTRA’s own QuickBooks Online company, under ENTRA’s own subscription, so that ENTRA’s accounting records stay in step with its procurement. Only these business and accounting records are exchanged. Figures that QuickBooks calculates from them — such as PAYE, UIF, SDL and payslips — are QuickBooks’ and are not stored in the ENTRA Software. Intuit’s handling of this data is governed by Intuit’s own privacy statement.
- Hosting and infrastructure providers.The Software and its databases run on cloud infrastructure providers that process the data on ENTRA’s instructions to host the service.
6. Security
Access is controlled through ENTRA single sign-on and role-based permissions, so a person sees only what their role allows. Data is encrypted in transit, and sensitive modules are restricted to the roles that need them. Significant changes are logged.
7. Retention
We keep information for as long as it is needed for the business purpose it was collected for, and for as long afterwards as the law requires us to retain business and accounting records.
8. Changes
We may update this Policy from time to time. The current version is the one published here, with the effective date shown above.
